MTB Trail Hub Terms and Conditions
1. Introduction
These Terms and Conditions, along with our Privacy Policy, form the contract between you (“the client”) and MTB Trail Hub. By confirming your booking, you acknowledge and accept these terms. References to “you” and “your” include the lead person on the booking and all named individuals. Please review the relevant holiday webpage to fully understand the itinerary and activities before confirming your reservation.
2. Assumption of Risk
By participating in MTB Trail Hub activities, you accept the inherent risks, including personal injury or death. MTB Trail Hub is not liable for injuries, fatalities, or claims arising from participation. Comprehensive travel insurance, covering emergency medical care, mountain rescue, and associated costs, is strongly recommended for all participants.
3. Payments
MTB Trail Hub Holiday Deposits: A non-refundable deposit of £200 per person is required to secure your booking. This deposit must be paid within 5 days of receiving the payment request. If the deposit is not received within this timeframe, we will assume that you no longer wish to proceed with the booking, and we reserve the right to re-sell your spot on the holiday.
Mtb Trail Hub Holiday Final Payment: The full balance for your holiday is due 42 days before the start date. If the remaining balance is not paid by this deadline, we reserve the right to cancel your booking and reallocate your place. In this case, your deposit will be forfeited.
Self Catered or Bespoke Holiday Deposits: Mtb Trail Hub requires a non refundable 40% deposit of the total cost of your holiday in order to secure bespoke or self catered holidays. Deposits must be paid within 5 days of receiving the payment request.
Self Catered or Bespoke Holiday Full Payments: The full balance for your holiday is due 60 days before the start date of your holiday. If the remaining balance is not paid by this deadline, we reserve the right to cancel your booking. In this case, your deposit will be forfeited.
Payment Methods: All payments must be made via direct bank transfer or through our website booking system. All amounts are quoted in British Pounds (GBP).
All bookings will receive a confirmation email when balances have been received.

4. Cancellations
Cancellation Charges:

- 31+ days before arrival: The remaining balance will be refunded (deposit non-refundable).
- 21–30 days before arrival: 50% of the booking amount will be charged.
- Less than 21 days before arrival: Full booking amount will be charged.
- No-shows or reductions of group size after arrival: Full booking cost applies.
5. Travel Insurance
It is strongly recommended to obtain travel insurance at the time of booking. This insurance should cover cancellations, emergencies, health issues, and other unforeseen events. If you choose not to have insurance, any associated costs will be your responsibility.
6. Health and Fitness Requirements
You must be in good health to participate in MTB Trail Hub holidays. Any underlying or relevant health issues must be disclosed during the booking process. MTB Trail Hub may require a signed medical form to confirm fitness for the holiday. Failure to disclose health issues may impact travel insurance, third-party operators, and other riders.
7. Route Changes and Postponements
MTB Trail Hub reserves the right to change routes, schedules, or itineraries and to delay, postpone, or cancel holidays due to safety concerns of inclement weather, natural disasters, or other circumstances, including: Inclement weather, Fire or flood restricting access, Acts of terrorism.
8. Inclusions and Exclusions
The price covers only the inclusions specified in the holiday itinerary. Any exclusions, such as bike hire, mountain bike guiding, lift passes, transport (unless explicitly stated as included), meals (unless specifically stated as included), personal shopping, or any items not listed in the itinerary, will be at your own expense.
9. Damages and Liability
Guests staying in self-catered properties may be required to pay a damage deposit upon arrival. This deposit is held as a precautionary measure and will be refunded in full within 14 days following the end of your stay, provided no damage, breakages, or losses have occurred.
Liability for Damages – Guests are fully responsible for any damage, breakages, or loss caused to the property, including its furnishings, fixtures, equipment, or any other contents during their stay. The property owner will assess the cost of any damages, and the guest will be informed of the amount. Guests agree to pay the full cost of repair or replacement as determined by the property owner.
Additional Charges – If the cost of the damage exceeds the amount of the damage deposit, the guest will be required to pay the outstanding balance within 14 days of receiving written notice from the property owner or their representative.
Refunds – If no damages or liabilities are found upon inspection of the property, the full damage deposit will be refunded to the guest within 14 days of their departure. Please note that refunds may be delayed if further investigation is required.
Group Liability – In cases where damages or losses occur and no specific individual can be identified as responsible, the costs will be deducted from the lead booker’s damage deposit.
Behaviour – While staying at MTB Trail Hub properties, guests are expected to behave in a respectful and orderly manner. Behaviour that jeopardises the condition of the accommodation or disrupts the enjoyment of other guests will not be tolerated. MTB Trail Hub reserves the right to refuse accommodation to individuals responsible for such behaviour and will consider any contractual obligations terminated. The individuals involved will be fully liable for the cost of any damages caused.
10. Assumption of Risk for Activities
By submitting a booking and payment you acknowledge the inherent risks associated with participating in the activity and you understand all written information provided by MTB Trail Hub.
MTB Trail Hub and partners working alongside MTB Trail Hub will not be liable in any way, or in any circumstances for any damage, injury or loss to you or to your party that may occur during, in connection with, or as a result of mountain biking.
Users participate in the sport entirely at their own risk and must ride within their own capabilities ensuring that their bike is in good working order and properly maintained.
Any hospitalisation costs resulting from the malfunction or failure of personal or hired bicycles shall remain the sole responsibility of each individual rider.
Furthermore, you must be adequately fit and of an adequate proficiency to undertake the itinerary set out in the tour you have chosen. You therefore accept and consent to the risks inherent in the implementation of these booking conditions and accept the limitations of our responsibility.
11. Promotional Material
You consent to MTB Trail Hub using photographs, videos, and feedback for promotional purposes unless you specifically opt out.
12. Privacy
MTB Trail Hub collects personal information to determine tour suitability. This information will not be shared without your consent.
13. Curtailment of Tours
In the event that you are compelled to terminate your tour and return home prematurely, we regret to inform you that no refunds will be provided for any unused tour arrangements.
Furthermore, should you voluntarily curtail your tour and return home in circumstances where there is no valid or reasonable basis for dissatisfaction with the standard of accommodation or services rendered, no refund shall be issued for the unused portion of your tour. Additionally, we disclaim any liability for costs incurred as a result of your early return.
Depending on the specific circumstances, your travel insurance policy may provide coverage for curtailment. We advise that you submit any relevant claims directly to your travel insurance provider.
14. Modifications or Cancellations of Tours
MTB Trail Hub reserves the right to make changes or cancel bookings. Minor changes (e.g., accommodation substitutions or route amendments) will be communicated promptly. Additional costs resulting from changes after the tour commences are the participant’s responsibility.
15. Age Requirements
To make a booking onto a MTB Trail Hub holiday participants must be 18 years or older at the time the holiday commences. Exceptions can be made for children, but must be pre-approved before booking. Any child must be accompanied by a responsible adult.
16. Responsibility for Equipment
MTB Trail Hub or you may choose to rent bicycles from independent third-party providers for use during our tours/holidays. The cost of such rentals is not included in the advertised price of the tour and constitutes an additional expense unless pre agreed.
Any agreement for bicycle hire will be solely between you and the third-party provider, and MTB Trail Hub is not a party to that contract.
It remains your sole responsibility to ensure you have a suitable bicycle for participation in the tours/holiday activities, whether it is your own or one which has been hired from a third-party company.
You are fully accountable for the condition, maintenance, and appropriate use of the bicycle and any other equipment you utilise during the tour. Furthermore, you must ensure that adequate insurance is in place to cover the bicycle you bring or hire for the duration of the tour.
While MTB Trail Hub will take reasonable measures to assist in safeguarding your bicycle, we disclaim all liability for any loss or damage to the bicycle or equipment, whether arising during the tour or otherwise.
17. Loss of Personal Belongings
MTB Trail Hub accepts no responsibility or liability for the loss, theft, or damage of any personal belongings, including bicycles and associated equipment, whether owned or hired, during your participation in the tour.
It is the sole responsibility of each participant to ensure the security and safekeeping of their personal property at all times. While we make every effort to ensure that all our locations are secure in order to minimise the risk of loss or damage, we strongly recommend securing your bicycle with a lock and advise bringing your own lock to protect your bike.
Additionally, we suggest arranging adequate insurance to cover any potential loss or damage to personal items or equipment.
18. Transfer/ Flight Arrangements
Airport transfers are offered as a shared service and are scheduled in accordance with the timetable set by MTB Trail Hub or its partners. Transfers are only available for flights that meet the specified arrival and departure times listed in your tour details. It is your responsibility to ensure your flights align with these timings.
Flight Timings – for arrival transfers, flights must arrive by 11:00 AM on the start date of the tour to make use of our transfer unless agreed otherwise in writing during the booking process. Guests arriving earlier may be required to wait at the designated meeting point until the scheduled transfer time.
For departure transfers, flights must depart no earlier than 3:00 PM on the departure day to allow sufficient time for the transfer.
Missed or Delayed Flights – In the event of a delayed flight, transfers will wait for up to a maximum of 30 minutes. If the delay exceeds this waiting time, the transfer may proceed as scheduled to comply with driver regulations. Guests experiencing significant flight delays will need to arrange alternative transport at their own expense, and any claims for reimbursement must be submitted through travel insurance.
Schedule Adjustments – Departure times for return transfers are subject to change based on operational requirements, traffic conditions, or advice from the transfer provider. Any updates to the schedule will be communicated to guests as promptly as possible.
Liability – MTB Trail Hub assumes no responsibility or liability for missed or delayed flights, cancellations, or any related costs, as flights are not included in the tour package. Guests should contact their airline directly for assistance in such cases.
Additional Costs – If a transfer is missed due to flight delays or cancellations, any costs incurred to arrange alternative transport will be the sole responsibility of the guest.
Travel Insurance – It is strongly advised that all guests have travel insurance that includes coverage for transport delays, missed connections, and other unforeseen disruptions. This is essential to mitigate any risks associated with travel.
19. Group Booking Responsibility
By confirming your booking as the lead booker for a group, you acknowledge and agree that each member of the group has read, understood, and accepted our terms and conditions. As the lead booker, you are responsible for ensuring that all members of the group are aware of and comply with these terms.
